Overview

GBSI is seeking an Administrative Assistant to support the GBSI Training Center in Bellevue, WA.  This is a temporary, part-time position working on an as-needed basis, with typical work hours between 12:00pm - 5:00pm Monday-Friday.  The Administrative Assistant’s key role and responsibility is superb customer service, while collaborating with department managers and staff to assist with daily administrative needs and support. 

Responsibilities
  • Handles difficult situations with professionalism;
  • Maintains business-like attitude and extends courtesy to internal and external customers;
  • Answers questions and/or concerns from students and instructors with little to no assistance;
  • Ability to communicate with students attending training at the center to help with customer feedback and instructor assistance;
  • Professionally communicates with customers; answers questions about the company and directs calls to the correct employee/department;
  • Assists in the completion of training coordination;
  • Strives for personal ongoing development;
  • Ensures that classrooms are clean and well supplied with instructor/student materials, that room temperatures are comfortable, and that classroom computers are working properly;
  • Coordinates and confirms food and supplies for catering.  Prepares continental breakfast and afternoon snack and may be required to plan and arrange catered lunches for classes, as needed;
  • Keeps front lobby area stocked with fresh coffee and condiments, cold beverages, and snacks;
  • Submits purchase requests and expense reports for approval;
  • Assists with administrative and clerical needs;
  • Assists with training coordination needs; class rosters, printing course completion certificates, evaluations, courseware, material management;
  • Coordinates with other training locations regarding class rosters, courseware, and supplies;
  • Updates Training Systems for coordination and confirmation of resources (SharePoint, TRMS, etc.);
  • Adds invoicing instructions for Accounting to GBSI system based on contracts provided;
  • Reports facility issues in the customer service tool HESK;
  • Provides reports on the daily progress towards training events including; materials, enrollment changes, changes to classroom utilization reports, etc.;
  • Able to assist in testing and proctoring of student testing;
  • Ensures facility and in-stock items are maintained, accurately reported and current to date (i.e., inventory, student food, office supplies, equipment);
  • May be required to travel or drive a vehicle in support of GBSI business requirements;
  • May assist the Technical Team in configuration and setup as needed;
  • Additional duties as assigned.
Qualifications
  • High School Degree or equivalent required; Associate’s degree in business, or related field or equivalent experience preferred;

  • Two (2) years administrative experience;

  • Strong customer service orientation;

  • Ability to effectively communicate with internal and external customers;

  • Strong organizational skills with ability to multi-task;

  • Strong MS Office skills (Excel, Word, and Outlook);

  • Strong English and grammar skills;

  • Familiar and comfortable with office etiquette;

  • Ability to multi-task and work under pressure and within time constraints.
